Records are generated and stored in paper and electronic. Beginning in May 2022 files are being saved electronically. The paper files are to be cut off at case closure. Prior to May 2022, paper files are maintained in agency for 2 years, then transferred to State Records Center for 5 years, then destroyed by state approved methods. Information regarding cases is kept permanently under RDA 11328.

Hardware Description
Lawbase application services are hosted on a dedicated Windows Server virtual machine(VM). This VM provides the primary application tier for user access and business processing. MS SQL Virtual Database Server (Database Server). Lawbase data is stored on a dedicated Microsoft SQL Server virtual database server.
FileNet current State FileNet environment is an on-premise solution with all servers and data residing at the State data centers.

Lawbase operates using the application stack and supporting Microsoft components. Microsoft Office is used for end-user productivity and document generation/export workflows related to Lawbase operations.

Backup Procedures
Backups are performed in accordance with STS backup procedures, including routine scheduled backups, secure storage of backup media/targets, and retention aligned to policy.
Disaster Recovery
Lawbase disaster recovery is supported through data center redundancy between the North and South Data Centers and restoration from policy-based backups. Lawbase is a Tier 1 : RTO 5 Weeks+ RPO last Viable backup.

RDA 1250 is a request to revise an RDA. The retention period will remain seven years and then destroy. The format will be paper/electronic. The Abstract, Disposition Notes, and Worksheet have been updated. Recommend approval of the request to revise RDA 1250.
